JOB OPENINGS

OFFICE MANAGER/PART-TIME BOOKKEEPER

 

 THE CORE COMPONENTS OF YOUR POSITION WILL INCLUDE:

  • BOOKKEEPING, ACCOUNTS PAYABLE, ACCOUNTS RECEIVABLE

 

  • GENERAL ACCOUNTING/FINANCE

    • Participate in Event Budget meetings and work with event managers on maintaining accurate actual reporting 

    • Establish efficient accounting practices to help streamline processes 

    • Maintain transaction details within Quickbooks and provide monthly P&L reports

    • Collaborate with upper management to maintain accurate cash flow sheets

    • Track payroll data

    • Assist General Manager with employee and contractor onboarding 

    • Set up accounts and credit with new vendors 

  • ACCOUNTS PAYABLE

    • Coordinate with Program Managers to organize and catalog all event-based invoices 

    • Maintain payment calendars and prepare monthly reports for outgoing payments 

    • Assist program managers with spending categorizations and ensure accurate transcription from systems such as Ramp into appropriate Quickbooks categories. 

    • Collect and catalog W-9’s, insurance certificates, and necessary tax information from supplies & vendors 

    • Utilize creative payment platforms (such as Wise, ACH payments, Tay) etc to quickly and effectively pay international contractors

    • Prepare 1099’s 

  • ACCOUNTS RECEIVABLE

    • Work with Program Managers to maintain accurate customer lists and create invoicing systems to accurately collect one time and installment payments. 

    • Track invoices for timely payments and communicate with customers as needed for delinquencies and collection 

 

  • OFFICE MANAGEMENT & ADMINISTRATIVE DUTIES

    • Collect mail on a weekly basis and distribute as necessary

    • Assist President in scheduling meetings and maintaining calendars 

    • Support General and Communications Managers with organizing and constructing customer and marketing communications 

    • Assist with staff travel arrangements and itineraries

    • Support Program Managers with collection and organization of customer data inside platforms such as Regfox, Monday.com & Copper


REQUIRED EXPERIENCE AND NECESSARY SKILLS INCLUDE:             

  • Understanding of mid-level accounting 

  • Quickbooks 

  • Strong knowledge of accounting software and app integrations 

  • Accounts Payable 

  • Accounts receivable

  • Advanced Excel skills

  • Customer service based approach

  • Must be comfortable working solo or in groups, interacting with other team members and customers via email, chat, and video conferencing

  • Advanced written and communication skills 

  • Confidence in decision making and strong self-management ability

  • Organization and prioritization are key elements to success in this role 

  • Must be detail oriented, dependable, discrete, and honest 


 

THE REQUIREMENTS FOR THE POSITION WILL INCLUDE:   

  • LOCATION

    • The position will operate out of our Raleigh, NC Headquarters

    • Approximately 30 hours per week on average

    • Potential travel to events throughout the year for additional compensation
